01What information do we collect?

In shortWe collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us. Depending on how you interact with us, this may include:

  • Names
  • Phone numbers
  • Email addresses
  • Service addresses, and the details of the request you describe to us
  • Your SMS consent selections, and the date and time you gave them
Voice calls are recorded and transcribed

When you speak to our AI voice agent — whether on our website demo or on a phone line we operate for a client — your audio is captured, streamed to our AI provider, and transcribed in real time. We store the resulting transcript, a short summary of the call, and any details you give during it (such as your name, number, address, and the problem you describe). We do not store a voiceprint and we do not use your voice to identify you.

If you do not want to be recorded, do not use the voice agent — you can reach us by email or through the form on our contact page instead.

Sensitive information. We do not ask for, and do not knowingly process, sensitive information such as health, financial, biometric, or government-ID data. Please do not share it with our voice agent.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected. Our hosting provider automatically logs standard technical information when you visit the Services, such as your IP address and browser characteristics. This is used to keep the Services running securely and to limit abuse; it does not reveal your identity to us. We do not run advertising or analytics trackers on this website.

02How do we process your information?

In shortWe process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To respond to your enquiries and deliver our Services
  • To communicate with you, including — with your consent — by SMS (see SMS / text messaging)
  • For security and fraud prevention
  • To save or protect an individual’s vital interest, such as to prevent harm
  • To comply with our legal obligations

We may also process your information for other purposes only with your prior explicit consent.

03What legal bases do we rely on?

In shortWe only process your personal information when we have a valid legal reason to do so under applicable law.

If you are located in the EU or UK, the General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on to process your personal information:

  • Consent. We may process your information if you have given us permission to use your personal information for a specific purpose. You can withdraw your consent at any time.
  • Legal obligations. We may process your information where necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, or to exercise or defend our legal rights.
  • Vital interests. We may process your information where necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

If you are located in Canada, we may process your information where you have given us specific permission (express consent), or in situations where your permission can be inferred (implied consent). You can withdraw your consent at any time.

04When and with whom do we share your information?

  • Service providers. We may disclose your personal information to service providers who help us operate our Services, pursuant to a written contract between us and each provider.
  • Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

We do not sell your personal information. Mobile information and SMS opt-in data are never shared for marketing or promotional purposes — see SMS / text messaging.

05Cookies and tracking technologies

In shortWe do not use cookies to track you, and we run no advertising or analytics trackers.

This website sets no advertising cookies and runs no third-party analytics. Our hosting and booking providers may set cookies strictly necessary to deliver those functions (for example, to load the booking widget or to protect against abuse). Most web browsers accept cookies by default; you can set your browser to remove or reject them, though this could affect certain features of our Services. If we ever add analytics, we will update this notice first.

06Artificial intelligence-based products

In shortWe offer products, features, and tools powered by artificial intelligence and machine learning.

As part of our Services, we offer products powered by artificial intelligence and machine learning (collectively, “AI Products”) — principally Ava, our AI voice agent. We do not run these models ourselves; we provide them through third-party service providers, and your input and output, including your call audio and its transcript, are shared with and processed by those providers to deliver the Services.

The providers we rely on, and what each one receives:

  • Google (Gemini) — powers the live voice conversation on our website. Receives your call audio and its transcript in real time.
  • Retell AI — powers voice calls on phone lines we operate for clients. Receives the call audio and transcript.
  • GoHighLevel — our CRM. Receives the contact details you give (name, number, email, address), your SMS consent record, the call transcript, and the call summary.
  • Cal.com — scheduling. Receives the details needed to book an appointment.
  • Vercel — hosting. Processes standard server logs.

These providers act as our processors under written agreements and may not use your information for their own marketing. If we change providers we will update this list. All personal information processed using our AI Products is handled in line with this Privacy Notice.

07SMS / text messaging

If you provide your mobile number and tick the relevant consent checkbox on our website form, Auromations will send you SMS text messages about the topics you consented to: appointment and booking reminders, follow-ups with leads and clients, service and account updates, and — only with separate marketing consent — occasional offers.

We collect SMS opt-in information (your name, mobile number, and your consent selections) directly from you, in one of two places: the form on our contact page, or the opt-in checkbox we show you at the end of a call with our voice agent. In both cases the box is unticked by default and you must tick it yourself. We record the number, the exact wording you agreed to, and the date and time. Providing a phone number is optional, and SMS consent is never a condition of using our website or services.

No sharing of SMS opt-in data

No mobile information or SMS opt-in data will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Opting out: Reply STOP to unsubscribe from SMS messages at any time. After you opt out, we will stop sending you text messages.

08How long do we keep your information?

In shortWe keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible, we will securely store it and isolate it from any further processing until deletion is possible.

09How do we keep your information safe?

In shortWe aim to protect your personal information through a system of organisational and technical security measures.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security. Transmission of personal information to and from our Services is at your own risk; you should only access the Services within a secure environment.

10Do we collect information from minors?

In shortWe do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age (or the equivalent age specified by law in your jurisdiction), nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of such a minor and consent to their use of the Services. If we learn that personal information from users under 18 has been collected, we will take reasonable measures to promptly delete it. If you become aware of any data we may have collected from children under 18, contact us at info@auromations.com.

11What are your privacy rights?

In shortDepending on where you live, you have rights that allow you greater access to and control over your personal information.

In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure, (iii) to restrict the processing of your personal information, (iv) if applicable, to data portability, and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information.

If you are located in the EEA or UK and believe we are unlawfully processing your personal information, you have the right to complain to your Member State data protection authority or the UK data protection authority. If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

Withdrawing your consent: if we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time by contacting us at info@auromations.com. This will not affect the lawfulness of processing before its withdrawal.

Opting out of marketing and promotional communications: you can unsubscribe at any time by clicking the unsubscribe link in the emails we send, replying “STOP” or “UNSUBSCRIBE” to the SMS messages we send, or by contacting us. We may still send you service-related messages that are necessary for the administration and use of your account.

12Controls for Do-Not-Track features

Most web browsers and some mobile operating systems include a Do-Not-Track (“DNT”) feature you can activate to signal your preference not to have your online browsing activities monitored. No uniform technology standard for recognising DNT signals has been finalised, so we do not currently respond to them. If a standard is adopted that we must follow, we will inform you in a revised version of this Privacy Notice. California law requires us to state that, because there is currently no industry or legal standard for honouring DNT signals, we do not respond to them at this time.

13United States residents’ privacy rights

In shortResidents of certain US states may have rights to access, correct, obtain a copy of, or delete their personal information.

If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the following rights under applicable state data protection laws (these rights are not absolute and may be limited in some circumstances):

  • Right to know whether we are processing your personal data
  • Right to access your personal data
  • Right to correct inaccuracies in your personal data
  • Right to request the deletion of your personal data
  • Right to obtain a copy of the personal data you previously shared with us
  • Right to non-discrimination for exercising your rights
  • Right to opt out of the processing of your personal data for targeted advertising, the sale of personal data, or profiling that produces legal or similarly significant effects

We have not sold personal information, and we have not shared it for cross-context behavioural advertising, in the preceding twelve (12) months — and we will not. We do disclose personal information to the service providers listed in Artificial intelligence-based products for the business purposes described there; they are contractually barred from using it for their own purposes.

How to exercise your rights: contact us at info@auromations.com. Upon receiving your request, we will need to verify your identity before acting on it. You can designate an authorised agent to make a request on your behalf; we may deny a request from an agent who does not submit proof of valid authorisation.

Appeals: if we decline to take action regarding your request, you may appeal by emailing info@auromations.com. We will inform you in writing of any action taken or not taken, with an explanation. If your appeal is denied, you may submit a complaint to your state attorney general.

14Updates to this notice

In shortYes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. If we make material changes, we may notify you by prominently posting a notice of such changes or by directly sending you a notification.
